Kickbase is looking for a proactive Virtual Assistant to support our team a few hours per week. The role requires excellent communication skills in Dutch and English, creativity in writing, and strong organizational skills.

Main tasks:

• Write emails and newsletters to potential customers, partners, and leads

• Follow up with emails after discussions or meetings

• Draft short content (posts, captions, or text for website and socials)

• Maintain and update contact lists (customers, leads, partners)

• Prepare and schedule newsletters (Mailchimp or similar)

• Track leads and follow-up actions

• Assist with light research (e.g. local events, schools, potential partners)

• Support with small admin tasks (document formatting, scheduling, reminders)

Profile:

• Strong written and verbal communication skills (Dutch & English)

• Organized, detail-oriented, reliable

• Basic experience with email/newsletter tools is a plus

• Able to work independently and proactively

Time commitment: Approx. 2–3 hours per week (flexible, freelance basis).

• Handle customer inquiries, feedback, and resolve issues professionally

• Train and motivate staff to provide excellent customer service

• Manage bookings, payments, and basic administrative tasks

• Ensure the facility remains clean, organized, and well-maintained

• Report on shift performance and any operational issues to management

Who you are

• Experience in hospitality, retail, sports facilities, or a similar customer-facing role

• Strong leadership and team management skills

• Passion for football, sports, and creating memorable guest experiences

• Excellent communication skills (Dutch & English preferred)

• Ability to handle high-energy environments and solve problems effectively

• Hands-on, proactive attitude with attention to detail

• Availability to work flexible hours, including weekends and evenings

• Experience with booking systems or cash handling is a plus
